Information used by the app
Gymware uses your sign-in identity and the information you provide to manage your relationship with your gym: contact details, date of birth, emergency and guardian contacts, enrollment, attendance, progress, messages, contract signatures and payment history. A parent or guardian may manage linked athletes.
Service providers
Authentication, hosting and gym records are processed through Google sign-in, our authentication service, Vercel and Convex. Payments are completed through Stripe in your browser; Gymware does not store full payment-card details. Sentry receives crash diagnostics such as app version, operating system and stack traces. The native app omits account identity, request payloads and navigation breadcrumbs from its JavaScript crash reports. Advertising tracking and session replay are not enabled in the native app.
Your gym’s records
Your gym controls its enrollment and payment records and provides its own terms and retention information. Contract signing records can include the signature, document versions, timestamps and browser request metadata. Contact the gym about access to, correction of, or retention of those records.
Demo requests
When you book a demo, Gymware keeps your contact and booking details in Convex. We send your name, email, phone, gym name, member range, interests and notes, together with the selected time and time zone, to Probus, our team scheduling system. Probus uses these details to reserve the call, send booking emails, and manage rescheduling and cancellation. Google Calendar handles calendar invitations and Google Meet provides the call link. Your city, if supplied, stays with the Gymware lead record. Contact-only requests are stored in Convex and sent to our team by email through Resend. Email the contact below to request deletion of your demo details.
Gym owners and the free trial
When you sign up a gym for the 14-day free trial, we keep your account email, the gym's name and web address, and the WhatsApp number you give us. The card you add is saved by Stripe; Gymware never sees the full card number, and nothing is charged during the trial. We use these details to set up your gym, email you about your trial (for example, before it ends) and have our team contact you to help with setup. When a trial ends, your gym's records stay saved so you can continue later. Email the contact below to have them deleted.
Delete your account
In the app, open Account → Delete account and confirm by typing DELETE. This ends access and removes sign-in credentials. Gym-owned enrollment and payment records may remain for the gym’s recordkeeping obligations. Gym owners must transfer ownership before deleting their account. You can also request account deletion by emailing the contact below from your account email; we may verify the request before processing it.
Device storage and permissions
The native app keeps authentication credentials in secure device storage, along with your selected gym and language preference. Sign-out clears the local session. The app does not request location, camera, microphone or push-notification access for this release.
